Our client, a company specialized in the creation of commercial real estate lending tailored for the needs of each and every client, is currently looking for an Administrative Coordinator to join its team located in Downtown Montreal.

Profile

  • College diploma (DCS) in secretarial studies or any other relevant diploma;
  • Minimum of five (5) years of administrative experience in the banking, insurance, legal or accounting field or in any other similar role;
  • Bilingualism (French and English), written and spoken;
  • Excellent writing and oral skills in French;
  • Proven proficiency in the Office Suite tools;
  • Ability to demonstrate a professional and confidential attitude;
  • Attention to detail, sense of organization and priority management, and rigour;
  • Ability to work simultaneously on multiple files while meeting tight deadlines;
  • Sense of initiative, autonomy, and teamwork.

Responsibilities

  • Manage the logistic related to the preparation of documents for the Executive Committee, the Investment and Risk Management Committee and the Board of Directors, while following a specific schedule;
  • Ensure regular follow-ups among participants in order to meet established deadlines;
  • Draft, translate, review and format documents to be delivered while ensuring the quality and uniformity of the final product;
  • Maintain effective and ongoing communication between different committees;
  • Perform the electronic and paper filling of documentation;
  • Organize inter-team meetings by preparing the rooms and content;
  • Plan team members’ trips;
  • Prepare expense accounts and payment requests according to policies;
  • Produce vacation schedules for company members;
  • Maintain the logistic and functionality of the filing system (electronic and paper) using Sharepoint;
  • Follow-up on the compliance of the company’s documentation;
  • Act as the archiving manager;
  • All other related tasks.
