Project Administrative Assistant

Our client, an architectural firm specializing in public and institutional works, is currently looking for an Administrative Assistant to join its Montreal team.

Full time, Permanent


  • Hybrid telecommuting policy;

  • Minimum of two (2) years experience in administration, architecture, construction or engineering, an asset;
  • Excellent in French, both oral and written;
  • Proficiency in Office Suite software, specifically Excel;
  • Ability to work with numbers;
  • Ability to work on several projects simultaneously and have a good sense of organization and priorities;
  • Demonstrate autonomy and initiative.


  • Support technologists and architects on a day-to-day basis, while following up on administrative files;
  • Review spelling, grammar and formatting of contract documents, texts or reports;
  • Ensure stationery and office supplies inventories and place orders if necessary;
  • Open files in the various systems and ensure that data is entered and updated in them;
  • Write minutes of meetings and notes of site visits following the instructions requested;
  • Ensure the archiving and classification of documents, both physical and digital, as well as assisting architectural professionals in their document issuance;
  • Take part in the organization of team-building activities;
  • Assist the team in all other tasks when required.
